EXECUTIVE ASSISTANT TO PRESIDENT

WPPB Southampton, New York, an independent community public radio station and Long Island’s only NPR member station, is seeking an Executive Assistant to the President . This is a new position and provides confidential executive administrative support to the President of Peconic Public Broadcasting and the General Manager of 88.3 WPPB-FM. The Executive Assistant must be creative and enjoy working with a small dynamic team of experienced public radio professionals in an entrepreneurial environment that is mission driven, results driven, and community oriented. The ideal candidate will have strong written and verbal communication skills; demonstrated administrative and organizational experience; the ability to work independently on projects from conception to completion; and be comfortable handling a variety of assignments and confidential matters with discretion. Provides support to the Board of Directors and, supports and represents the President and General Manager in his relations with the Board of Trustees, donors, listeners, staff, support groups, volunteers, and professional colleagues. College degree or Professional certification required. Preference will be given to candidates with demonstrated experience in senior office management and support of an executive officer; knowledge and experience of broadcasting or related media; and work experience with a non-profit organization. Expanded list of duties For Executive Assistant to the President
Purpose: The executive assistant to the President of Peconic Public Broadcasting and general Manager of 88-3 WPPB-FM, provides high level administrative support to the Office of President.
Confidentiality, diplomacy, discretion, a high level of professionalism, close attention to detail; Strong organizational, writing, and verbal communication skills are essential. Standard office equipment, computer skills including word and excel, basic graphic, and social media skills are essential
-clerical, administrative, and project based support for the President and the Board
-organize and maintain paper and electronic filing systems for office records and messages;
-answer and screen phone calls and respond to calls as appropriate using discretion and judgment; process requests; take messages and forward to appropriate party in a timely effective manner
-welcomes guests and customers by greeting them in person and answering or directing their inquiries to appropriate persons
-Screens visitors using discretion and good judgment in allowing access to the President and staff
-management of the President’s calendar and schedule
-manages all travel arrangements and ground logistics for the President and staff as required
-schedule and prepare materials for Board meetings, and communications with the Board, and taking minutes at Board and Board committee meetings
-assist the President with donor development, donor client meetings, and donor relationships
-assist the President and the board leadership with special projects including Studio 71, the Capital Campaign Planning Board, Golf Outing, Gala Committee, and other board committees as needed.
-maintain the WPPB-FCC Public File and assist the President in the management, compliance and timely filing of station reporting requirements for all public and private grants including CPB and New York State.
-assist the President and the staff in the preparation of applications and reporting on government, foundation, and private grants.
-Perform other duties as required and assigned by the President.
